Understanding Products vs. Product Items

  • Product: A listing describing what you're renting (e.g., "Canon EOS R5 Camera")
  • Product Item: An individual unit of that product (e.g., "Canon EOS R5 #1", "Canon EOS R5 #2")

You can have multiple product items for the same product, each available for rent independently.

Why Multiple Items?

Having multiple items allows you to:

  • Rent the same product type to multiple customers simultaneously
  • Track individual unit condition and history
  • Assign items to different pickup locations
  • Generate unique QR codes for each unit

Creating a Product Item

Step 1: Navigate to Your Product

  1. Log in to your dashboard
  2. Go to My Products
  3. Click on the product you want to add items to
  4. Select the Items/Stock tab

Step 2: Click Add Item

Click the Add Item button to create a new product item.

Step 3: Fill in Item Details

Item Name

Give each item a unique, identifiable name:

  • "Unit #1"
  • "Serial: ABC123"
  • "Blue Model"

Tips for naming:

  • Use serial numbers if available
  • Add distinguishing features (color, size variant)
  • Keep names short but unique

Delivery Option (Location)

Select which rental option (pickup location) this item belongs to:

  • Choose from your existing rental options
  • This determines where customers pick up this specific item

Overall Condition

Rate the current condition of this item:

  • Brand New
  • Excellent
  • Good
  • Fair
  • Poor

Be honest—this builds trust with customers.

Step 4: Save the Item

Click Add Item to create the product item. It will now be:

  • Available for customers to rent
  • Visible in your Items/Stock list
  • Assigned a unique QR code

Managing Product Items

Viewing All Items

From the product's Items/Stock tab, you can see:

  • All items for this product
  • Each item's current status (Ready, Booked, Returned)
  • Location and condition information

Item Statuses

Status Meaning Can Be Rented?
Ready Available and in good condition Yes
Booked Currently rented out No
Returned Returned, needs review No

Editing an Item

  1. Find the item in the Items/Stock list
  2. Click Edit
  3. Update the name, location, or condition
  4. Save your changes

QR Codes

Each product item has a unique QR code:

  1. Click QR next to the item
  2. View, download, or print the QR code
  3. Attach it to the physical item

QR codes help with:

  • Quick item identification
  • Easy check-in/check-out
  • Inventory management

Best Practices

Naming Convention

Establish a consistent naming system:

[Product Short Name] - [Identifier]

Examples:

  • "Canon R5 - Serial A123"
  • "Ladder 10ft - Unit 1"
  • "Drill - Blue"

Tracking Condition

Update condition ratings:

  • After each rental review
  • When items show wear
  • After repairs or maintenance

Multiple Locations

If you have items at different locations:

  • Assign each item to the correct rental option
  • Update locations if items move
  • Consider naming items by location

Common Scenarios

Adding Multiple Units

If you have 5 identical cameras:

  1. Create the product once
  2. Add 5 product items
  3. Name them: "Unit 1", "Unit 2", etc.
  4. Assign to locations as needed

Item Gets Damaged

  1. Mark as damaged during review
  2. Consider updating condition rating
  3. Decide if item should remain available
  4. Update or remove listing if necessary

Moving an Item

If an item moves to a new location:

  1. Edit the product item
  2. Change the delivery option
  3. Save changes
