Managing Item Condition After Rentals
When items are returned from a rental, it's important to inspect, clean, and review them before making them available again. Green Gooding provides tools to track and manage this process.
The Review Process
When Items Are Returned
After a customer returns an item:
- The item status changes to Returned
- It appears in your Cleaning & Review queue
- You need to inspect and review it before it becomes Ready again
Accessing the Cleaning & Review Page
- Log in to your dashboard
- Navigate to Cleaning & Review in the menu
- You'll see all items waiting for inspection
Reviewing an Item
Step 1: Select the Item
Click on Review Item next to the item you want to inspect.
Step 2: Complete the Review Form
Fill in the inspection details:
Reviewer Name
Enter your name or the name of the person performing the inspection.
Item Status Checkboxes
- Has Damage: Check if you found any new damage
- Is Clean: Check if the item is clean and ready for the next rental
- Needs Reimbursement: Check if the customer should be charged for damage
- Cleaning Done: Check if you've completed cleaning
Return Condition
Rate the overall condition of the returned item:
- Brand New
- Excellent
- Good
- Fair
- Poor
Comments
Add any notes about:
- Specific damage found
- Cleaning performed
- Issues to monitor
- Recommendations for future rentals
Step 3: Submit the Review
Click Submit Review to save your inspection. The item will be updated based on your review.
Item States
Understanding item states helps you manage your inventory:

|---|---|
| Ready | Item is available for rent |
| Booked | Item is currently rented out |
| Returned | Item was returned and needs review |
Cleaning Best Practices
Before Each Rental
- Inspect the item thoroughly
- Clean all surfaces
- Check for functionality
- Take photos for documentation
After Returns
- Compare condition to pre-rental state
- Document any new damage
- Clean the item
- Update the item status
Handling Damage
If you discover damage during review:
- Document it: Take photos and detailed notes
- Mark it in the review: Check "Has Damage" and describe the issue
- Assess costs: If reimbursement is needed, check that option
- Contact the customer: If needed, discuss the damage
- File a claim: Use the platform's dispute resolution if necessary
Tips for Efficient Reviews
- Review promptly: Don't let returned items sit uninspected
- Be consistent: Use the same criteria for all reviews
- Take photos: Document condition before and after rentals
- Track patterns: Note if certain items need more maintenance
Automated Notifications
The system will notify you:
- When items are marked as returned
- If items have been waiting for review too long
- When reviews are completed
