Order Lifecycle

Every rental order on Green Gooding follows a specific lifecycle. Understanding each status helps you manage your orders effectively.

Detailed Status Guide

Pending

What it means: A customer has booked your product and paid. The order is waiting for your confirmation.

What to do:

  • Review the order details
  • Check item availability
  • Confirm or decline the order

Time sensitivity: Confirm quickly! Customers appreciate fast responses.

Next status: Confirmed (if accepted) or Cancelled (if declined)


Confirmed

What it means: You've accepted the booking. The customer is scheduled to pick up the item.

What to do:

  • Prepare the item for rental
  • Review pickup instructions
  • Be ready for the customer

Customer receives:

  • Confirmation email
  • Pickup details
  • Your contact information

Next status: In Progress (after pickup) or Cancelled (if either party cancels)


In Progress

What it means: The customer has picked up the item and the rental period is active.

What to do:

  • Monitor the rental period
  • Be available for questions
  • Prepare for return

What to track:

  • Expected return date
  • Any customer communications
  • Item condition notes

Next status: Returned (when customer returns the item)


Returned

What it means: The customer has returned the item. It needs your review before the order completes.

What to do:

  1. Inspect the item thoroughly
  2. Complete the item review
  3. Note any damage or issues
  4. Mark the review as complete

Important: Don't skip the review! It helps track item condition over time.

Next status: Completed (after review)


Completed

What it means: The rental is finished. The item has been reviewed and everything is settled.

What you can do:

  • Leave a review for the customer
  • View the order history
  • Reference for future rentals

Customer can:

  • Leave a review for you/the product
  • Book again

Cancelled

What it means: The order was cancelled before completion.

Reasons for cancellation:

  • Renter declined the order
  • Customer cancelled their booking
  • Item became unavailable
  • Scheduling conflict

Refund: Customers receive automatic refunds for cancelled orders (subject to cancellation policy).

Status Colors

In your dashboard, statuses are color-coded:

  • Pending - Yellow/Orange (action needed)
  • Confirmed - Blue (scheduled)
  • In Progress - Green (active)
  • Returned - Purple (review needed)
  • Completed - Gray (finished)
  • Cancelled - Red (ended)

Common Questions

Can I change an order's status manually?

You can:

  • Move Pending → Confirmed (confirm order)
  • Move In Progress → Returned (mark as returned)
  • Move Returned → Completed (complete review)

You cannot:

  • Skip statuses
  • Move backwards
  • Change Completed orders

What if a customer doesn't return the item?

  1. Contact the customer directly
  2. Document your attempts
  3. Contact Green Gooding support
  4. The order remains "In Progress" until resolved

How long do orders stay in each status?

  • Pending: Until you confirm (confirm quickly!)
  • Confirmed: Until the rental start date
  • In Progress: Duration of the rental period
  • Returned: Until you complete the review
  • Completed: Permanently

What triggers status changes?

Trigger Status Change
Customer books → Pending
You confirm Pending → Confirmed
Rental period starts Confirmed → In Progress
Customer returns item In Progress → Returned
You complete review Returned → Completed
Either party cancels → Cancelled

Tips for Each Status

Pending Orders

  • Check daily for new orders
  • Set up notifications
  • Respond within 24 hours

Confirmed Orders

  • Prepare items in advance
  • Send pickup reminders
  • Double-check availability

In Progress Orders

  • Monitor rental duration
  • Be responsive to questions
  • Prepare for return

Returned Orders

  • Review items promptly
  • Be thorough but fair
  • Document any issues
